Together with Obycron, Odoo was implemented as a process framework, integrated with the existing SAP landscape. Project management is at the heart of the solution, with each customer file being followed up as a project.

The project module is at the heart of the Odoo setup at Fluvius for an advanced file tracking system.

Agenda

Agenda management was linked to Outlook so that end customers can schedule appointments with technical teams themselves.

Fluvius is the Flemish network company responsible for the management of electricity, natural gas, sewage, and heating in all cities and municipalities of Flanders. With more than 6,000 employees, Fluvius supports both private and professional customers with connections, management, and monitoring of utilities.

Within various back-office departments, Fluvius manages complex files, including those related to local energy production and network cabinets.

Before collaborating with Obycron, Fluvius worked with a fragmented IT landscape. Files were tracked using Excel files, Access applications, and mailboxes. Statuses had to be manually maintained, and communication with customers and subcontractors was poorly structured.

Fluvius was looking for a scalable solution to:

  • reduce manual actions

  • increase overview and transparency

  • offer customers more self-service

  • integrate existing systems

Custom automations for high volumes

Given the high number of files, targeted customisation was provided:

  • specific data models per department
  • automatic document retrievals and reminders
  • status-driven workflows and communication

These automations remove repetitive work from employees and significantly increase processing speed.


Odoo: flexibel framework & meetbare resultaten

Thanks to the Odoo solution, Fluvius achieved up to 50% time savings per file. Employees experience more overview and less administrative burden. Due to the success within one department, the solution grew organically within the organisation, with new use cases and expansions.
